UCOL's busy Student Registry is looking for an experienced Registry Enrolment & Programme Maintenance Administrator to help with the timely and accurate processing of student enrolments and academic programmes into the Student Management System.

 

You will be able to consistently meet service delivery timeframes, have excellent analytical and processing skills and have an affinity for dealing with students, academic staff, and recruitment agents.

 

Previous experience in this kind of role within a tertiary environment would be desirable. It is expected that the present incumbant will apply.

Job Description 

Student Registry Enrolment and Programme Maintenance Administrator

 

Student Registry Services  

 

Location:

Palmerston North

 

Purpose Statement:

To ensure that UCOL maximises the number of enrolments by providing high quality service delivery to prospective students and to International Educational Consultants (Agents).


To administer the processing of international enquires and all student applications for enrolment to study at UCOL, ensuring students and International Agents are kept informed at each stage of the enrolment process and decision making.


To assist the Team Leader/Programme Compliance Officer enter and maintain UCOL’s academic programmes within the Student Management System (SMS), ensuring that programme rules in regard to Ministry and other central government requirements are met and maintained to allow the maximum government funding.

Key Accountability Areas:

  1. Build and maintain effective relationships with International Recruitment Agents, prospective students and UCOL Faculty
  2. Provide a high level of service delivery to International Recruitment Agents and prospective students so that enquiries or requests receive a response within 24 hours
  3. Receiving applications, validating and initiating the enrolment process for all students
  4. Accurately data entering extensive amounts of information into the Student Management System which meets strict government requirements
  5. Converting international enquiries into applications to the maximum possible extent
  6. Follow up with all students or International agents to ensure all possible applications are converted into enrolments
  7. Rostered cover for the International Information Desk communicating with international students and pastoral care staff
  8. Maintain SMS with accurate and up to date academic programme curriculum
  9. Ensure all Ministry and government programme and funding rules are met and maintained
  10. Programmes available for full enrolment when required

 

Person Specification 

Qualifications:

Business related qualification would be desirable

 

Experience:

An understanding of the needs and motivations of International Students is essential


Knowledge of Ministry rules and funding regulations is essential


Knowledge of the Code of Pastoral Care for International Students would be desirable


Relevant experience within a tertiary environment would be desirable

  • Ability to undertake multiple tasks at the same time
  • Strong written and oral communication skills
  • Knowledge of cultural differences to business and communication
  • Ability to build and maintain relationships with customers at a distance
  • Ability to question and interpret MOE legislation and funding rules
